Privacy notice

How SAPC looks after your details on the Arush Clubs platform. Last updated: [DATE PUBLISHED]

In short

  • We only ask for what we need to run your club and the Arush Clubs network.
  • Your phone number and email are seen only by your club coordinator and SAPC admins — never by other members.
  • If you are under 18, a parent or guardian must agree before you join.
  • You can correct your details at any time, and ask for them to be deleted.

Who looks after your data

SAPC runs the Arush Clubs network and this platform, which is hosted on Alpha Charitable Trust's server. The organisation responsible for your data (the "data fiduciary" under India's Digital Personal Data Protection Act, 2023) is [ORGANISATION'S FULL LEGAL NAME], [POSTAL ADDRESS].

What we collect

When you join through your club's link, we ask for:

  • your full name and mobile number (you use the number to log in)
  • your email address, if you choose to give it
  • your course, year of study and gender
  • your blood group and how you would like to help, if you choose to give them
  • a password — stored scrambled, so no one, including SAPC, can read it
  • whether you are 18 or older, and if not, your parent or guardian's name
  • the date and time you gave your consent

We also record which club you belong to, your role in it (for example Secretary or Volunteer), when you joined and were approved, and the events you say you will attend. If your club already had a member list, your coordinator may have added your name and number before you registered; you give your consent when you register.

Why we use it

  • to add you to your club and let your coordinator approve you
  • so your coordinator and SAPC can contact you about club activities, events and training
  • to show you announcements and events for your club and district
  • to count members and volunteer work across the network, for SAPC's reports
  • to find volunteers for blood donation drives, if you gave your blood group

SAPC does not sell your details or use them for advertising. We share them outside SAPC only [WHEN, IF EVER, DETAILS ARE SHARED OUTSIDE SAPC]. The platform does not send your details to any outside company.

Who can see your details

  • Your club coordinator and SAPC admins can see everything you entered, including your phone number, email, blood group and guardian's name. They can download member lists to organise club work.
  • Other members of your club can see only your name, your role in the club, your course and your year of study.
  • Members of other clubs cannot see your details.

If you join your club's WhatsApp group, that happens on WhatsApp, not on this platform, and other people in the group can see your number.

If you are under 18

You need your parent or guardian's agreement to join. When you register, we ask for their name and for you to confirm that they have agreed, and we record the date. Your parent or guardian can ask to see, correct or delete your details in the same way you can. We do not track, profile or advertise to any member.

How long we keep it

  • We keep your details while you are a member of an Arush Club.
  • After you leave or finish your course, we keep them for [RETENTION PERIOD], then delete them.
  • If your join request is declined, your details are deleted straight away.
  • If you ask to be removed, your account is deleted from the platform. Copies in the server's nightly safety backups are cleared within 30 days.
  • The server keeps basic technical logs (such as IP addresses) for security for [SERVER LOG RETENTION PERIOD].

How we protect it

The site only works over a secure (HTTPS) connection, passwords are stored scrambled, and each person sees only what their role needs. We use one cookie, just to keep you logged in for up to 30 days; there are no tracking or advertising cookies.

Correcting or deleting your details

  • Correct: most details can be changed on your My profile page after you log in. For anything else, ask your club coordinator.
  • Delete, or withdraw your consent: ask your club coordinator, who can remove you completely, or contact SAPC below. Withdrawing consent means leaving the platform.
  • See what we hold: contact SAPC below and we will send you a summary of your details.

Under the DPDP Act you can also name someone to act for you if you die or are unable to, and complain to the Data Protection Board of India if you are not happy with how we handled your request.

Contact

For questions, requests or complaints about your data, contact [NAME OR ROLE OF CONTACT PERSON] at [CONTACT EMAIL] or [CONTACT PHONE]. We will reply within [RESPONSE TIME].

If we change this notice, we will update this page and the date at the top.
